Who Do We Need?

The Office Manager is responsible for organising all of the administrative activities that facilitate the smooth running of the office on a day to day basis, including health & safety and projects such as office relocation. 

 

Role responsibilities

General:

  • Manage all health and safety requirements across all UK sites
  • Serve as the primary point of contact for landlord, contractors and all visitors
  • Security for two offices " key management, fob management, alarm notifications and liaison with alarm company
  • Contract processing for all UK business contracts
  • Responsible for the full maintenance of older building in Surrey and liaise with managing agents for Shoreditch office
  • Assist with any new hire induction as required by HR
  • Meeting room calendar management
  • Travel management including executive car hire, assisting colleagues from other offices with local travel and accommodation, and helping staff with corporate traveller
  • Coordinate and manage large scale office projects such as office moves and/or relocations
  • Maintaining the office lay out, working on floor plans and planning for future heads
  • Manage office costs such as utilities, cleaners and other vendors
  • Manage office and facilities communication channels (Slack, Facilities email, Facilities folder on Sharepoint)
  • Provide general administrative support and take on other ad-hoc projects as required

 

Health and safety

  • Health and safety coordinator for UK company
  • Review and update policies
  • Review and update risk assessments including assessments for office, fire, homeworker, events, and new & expectant mothers
  • Conduct DSE assessments
  • Carry out monthly office checks for hazards in all three offices
  • Manage the maintenance and task list matrix and arrange where necessary
  • Making sure all near misses and accidents are reported
  • Monitor the health and safety training matrix and organise training where necessary
  • Carry out new starter health and safety induction and fire awareness training
  • Initialise and manage the fire drill in the Surrey office
  • Legionella risk management for Surrey and Shoreditch office

 

General Office

  • Fire Drills: Managing fire wardens, evacuation routes, assembly points, carry out drill in Salfords office
  • Meet and greet visitors
  • Monotype reception calls " screen calls for senior management, putting calls through to relevant department
  • Scheduling couriers, and mail management
  • Suppliers management including monthly food delivery, milk deliveries, fruit deliveries and stationer
  • Office Space Maintenance
  • Licence renewals for offices " TV, PRS and PPL
  • Archive management
  • Social and events:
    • Arrange cards for birthdays, leavers, births etc
    • Organise social lunches within the office
    • Organise Summer and Christmas party
    • Assist with annual kick off and other corporate events

 

Requirements

  • Previous Office Manager experience
  • Experience working on an office move/relocation
  • Experience in Health and Safety essential, IOSH trained
  • Excellent organizational and time management skills
  • Strong IT skills, including knowledge of Microsoft and Apple Mac software and packages
  • The capacity to priorities tasks and work under pressure
  • Ability to liaise well with others and delegate tasks
  • Strong oral and written communication skills
  • Ability to work on your own initiative
  • Attention to detail
  • Flexibility and adaptability to changing workloads
  • Problem-solving skills and project management ability
